About the role
As our IT Procurement & Asset Co-ordinator, you will support the IT department with the effective and efficient management of key administrative processes for procurement, contract management, and asset management.


You will own the systems and processes within your role with autonomy, ensuring that they operate as smoothly as possible using automation and empowerment to provide the easiest and fasted service possible.


You’ll have ownership of the day-to-day procurement of IT equipment and services, including working with suppliers to obtain quotes, placing orders, tracking deliveries, and managing the finance administration for the purchase request and purchase order processes. You will also support the IT Manager with monthly management accounts, quarterly reforecasts, and annual budgets, by providing knowledge acquired through the management of procurement and contract renewals.


Your day will also include tracking and monitoring IT contracts for expiry, review, and renewal. You’ll handle the procurement aspects of contract management and produce reports that provide status updates on key contract renewals. You’ll have control of IT assets, ensuring that administration of the acquisition, storage, distribution, movement, and disposal of assets is carried out, and ensure that assets are identified and labelled, and appropriate records of all changes to IT assets are accurately controlled and recorded, ensuring redundant equipment is disposed of responsibly according to WEEE regulations.


About You
We’re looking for an individual who has excellent communication skills and demonstrable experience in managing and owning the procurement of IT equipment and services, small and large; managing IT contracts ensuring that services are fit for purpose and negotiated effectively; and managing IT hardware and software assets ensuring we have the correct resources available. An ITIL Foundation certificate is desirable. You’ll be comfortable with using a ticketing system and handling requests with non-technical people at all levels, developing positive working relationships with team members, colleagues, and other departments. You will be a strong team player who can effectively manage and prioritise a busy workload.


You’ll have excellent administration skills with a keen eye for detail and will be highly organised in your management of workload. You’ll be comfortable working autonomously with initiative and escalating exceptional issues to the IT Manager and will have a driven desire to complete work in a timely and efficient manner. You’ll have an improvement mindset, always seeking to think outside of the box to improve systems and processes to our advantage. A good understanding of financial concepts such as budgets, accruals and prepayments is also desirable.
